Insurance Receptionist

An insurance receptionist is the first person that most customers see when the come into the insurance office. He or she is also the first voice that the customer hears when they call into the office, so making a good impression both in person and on the phone is essential. The insurance receptionist works standard business hours and rarely if ever has overtime or extended hours. Most receptionists work full time, forty hours a week, but some work part-time in smaller agencies or offices. A high school diploma or equivalent with excellent phone and personal skills and some computer knowledge is important for this position.

An insurance receptionist should have a basic understanding of the services that the agency provides and should be able to provide general information to clients. She will manage the phones, take messages, transfer calls and handle most inquires from marketing firms or outside vendors. Most receptionists will also deal with billing information, print invoices and statements, record payments and manage the daily ledger for the insurance company. The position may also involve making deposits with the bank and reconciling variances between bank statements and insurance company ledgers.

Receptionists may be involved in scheduling meetings, opening and distributing mail to the various agents that work in the office, doing office filing and photocopying and working to support the agents in providing customer service. The insurance receptionist may also provide follow-up calls to clients and may also work closely with agents to ensure all paperwork is correctly entered into customer files and databases on the computers.

Common work activities include:

  • Greeting clients as they enter the office and notifying the appropriate insurance agent of the client's arrival.
  • Answering phones, taking messages, transferring information and providing basic answers to some insurance questions or questions about the services the office offers.
  • Data entry by computer or by hard-copy files.
  • Billing, handling payments, invoicing clients and balancing the daily ledger or bank deposit and statement.
  • Overseeing the day-to-day operation of the office from inventory supervision and ordering through to working with outside services for repairs or maintenance.
