Secretarial Service Owner

As a secretarial service owner the responsibility of the day-to-day operation of the business is the largest part of the job. This means handling the accounts, managing and scheduling office staff, hiring, training and firing of secretarial staff for the roster, handling customer complaints or problems as well as overseeing the marketing and advertising for the service. Constant networking and meeting with potential customers in the area as well as possibly expanding to other markets is a key responsibility of the owner.
A secretarial service provides temporary or permanent secretarial staff to business on an emergency or on-call basis. This requires the secretarial service owner to have a selection of secretarial staff with various areas of expertise to fill in on client requests. Since qualified staff may be hired by the company they are temporarily filling in for there is always a need for the owner to be working to increasing and maintaining levels of available staff. Some secretarial services offer typing, transcription, phone services or other services from a central locations. Small businesses or agencies that cannot afford an on-site secretary simply send in documents or transcription material to the service where it is typed and returned.
One of the best forms of advertising in the secretarial service market is by word of mouth. It is very important to the owner that all the temporary secretaries provided are of high quality and have an appropriate level of professionalism. Training, in-service and constant monitoring and evaluation of on-call staff is usually handled by the owner. Hiring of support staff including trainers, financial staff, including bookkeepers, accountants and tax preparers is the direct responsibility of the owner.

- Advertising secretarial services to new and existing businesses in the community and into new markets and areas.
- Hiring, training and firing of staff for both office personnel and secretarial on-call staff.
- Monitoring and evaluating the performance of employees through satisfaction surveys and follow-ups with businesses.
- Managing the operation of the secretarial service on a daily basis.
- Paying bills, invoicing clients and collecting for secretarial services provided.
- Handling any customer complaints or difficulties with secretarial staff or company service.
