Software Documentation

A professional that provides software documentation is responsible for creating using manuals, guides, quick start-up brochures and other relevant and requested information. This often involves a very in-depth knowledge of computer systems and software interactions as well as an ability to take a highly technical series of steps and break them down into language and sections that make use to average consumers. These manuals and software documentation articles are often sold with the software program or are available as downloaded pdf files through the various software manufacturers.
Many of the documents for software that the writers develop are used for online help centers to allow the customer service representatives to provide detailed instructions over the phone to troubleshoot problems with the software. This documentation is more detailed and technical that the basic information that is provided in the manual for standard installations. Some software documentation also comes in the form of online help sites where the user provides the information and then the help program determines what troubleshooting information is relevant. This is often done through a series of "yes/no" flow charts that specific all potential problems at each stage of the troubleshooting plan.
The software documenter or technical writer often has to write manuals based on information from various sources including the programmers and coders. Excellent communication skills and a strong background in programming is an asset for a documenter. Knowing the basic and advanced computer terminology is essential in most cases. An ability to work to deadlines, stay organized and focused and think in a logical fashion are critical to the job.
Common work activities include:
- Reviewing and gathering information on the software to be documented through meetings with the development team or the programmers.
- Using the program and breaking each step of the use of the software down into its most basic stages.
- Converting highly technical information and terminology into easy to understand general English as much as possible.
- Developing a layout or format for the software documentation that meets the clients needs.
- Revising, editing or modifying writing and documentation as required.
